ABOUT THE MANUAL
This manual has been prepared to help you get acquainted with our organization. It should answer many of your initial questions. It is important that you read, become familiar with the manual, and comply with the established standards. Definitions of commonly used terms in this manual can be found in Appendix A. Please talk with a staff member if you have any questions or need additional information.

CSC TEACHER/COMMUNITY LEADER/VOLUNTEER EXPECTATIONS
1. CONFIDENTIALITY
CSC is committed to protecting the privacy of its volunteers, staff, students, and all those with whom the organization does business. To assure that volunteers, board members, and staff are mindful of the need for confidentiality, CSC requires that they sign a Statement of Confidentiality and update the agreement annually. Please sign and return the confidentiality pledge found in Appendix B.
2. WAIVER & PHOTO RELEASE
CSC requires that all volunteers read and sign a volunteer waiver found in Appendix C. In addition, CSC asks that all Volunteers/Teachers/Community Leaders sign a photo release found in Appendix D.
3. BACKGROUND CHECK POLICY
Community School Collaborative will perform background checks on volunteers that are working with students per the following policies:
1. CSC volunteers working with SGMS students will undergo a background check prior to them beginning volunteer activities, with exceptions as listed below. Background checks will be repeated every 5 years, unless the District Administration waives this requirement. School District Employees are not required to be background checked by CSC. The SGMS principal can temporarily waive the background check on an individual if it is not possible to obtain the check prior to involvement, and it is deemed that there is no significant risk to students in doing this.
2. The following individuals will not require a background check:

One-time volunteers being directly supervised by teachers or other background checked CSC volunteers in a classroom setting
-
Individuals speaking or giving a presentation to either a workshop or a larger student group under the supervision of a District principal, teacher or background checked CSC workshop leader
-
Individuals that CSC has arranged for the students to meet on field trips while supervised by background checked CSC leaders. This includes individuals at businesses and other entities such as nonprofits or governmental agencies.

District administrative personnel, per District policy, have the ability to waive a background check for volunteers. Volunteers will not be required to have a background check done by CSC if they have been background checked by the District within the past 5 years. CSC will confirm volunteers’ history of a background check with the school District before ordering new checks.
3. A Background Check will be based on the volunteer’s Social Security number and photo ID and will be done by a reputable national firm. CSC is currently using the firm National Center for Safety Initiatives (NCSI) to perform background checks for the organization. It includes a Social Security number trace, nationwide criminal history search, Department of Justice Sex Offender search and current County or State Residence search. The volunteer will not be charged for the background check, but they may reimburse CSC for the cost of it if they desire.
4. References may be required of volunteers who are not referred or already known by CSC staff, Advisory Board members, school personnel or other local nonprofit or governmental agencies.
5. CSC reserves the right to decline any volunteer’s application for any reason it deems fit and there is no recourse for the applicant.
4. ALCOHOL, TOBACCO, AND DRUGS
The personal use, purchase, transfer, possession, or distribution of alcohol, cigarettes or illegal drugs by a volunteer, staff, or board member while performing CSC business is prohibited. Volunteers, staff, or board members may not report for duty, remain on duty, or operate CSC or personal vehicles on CSC business while under the influence or impaired by alcohol or a controlled substance.
5. HARASSMENT AND SEXUAL HARASSMENT
CSC is committed to providing an environment that is free of unlawful discrimination. In keeping with this objective, CSC maintains a strict policy prohibiting unlawful harassment, including harassment based on any of the following categories: race, color, religion, sex, pregnancy, disability, national origin, ethnicity or ancestry, age, or any other protected category. Harassment, intimidation, and bullying can take many forms - verbal, written, electronic, visual, physical and psychological. It includes causing a student physical harm, damaging a student’s property or placing a student in reasonable fear of harm to the student or the student’s property. It creates a hostile environment by interfering with or denying a student’s access to an educational opportunity or benefit.
In particular, sexual harassment is defined as any unwelcome conduct that would not have occurred but for the person’s gender, including but not limited to sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature.
Any person who believes they have been or are being harassed during a CSC sponsored activity should immediately report the facts of the incident(s) and names of the individuals involved to CSC staff or SGMS administration. Persons who report harassment, in good faith, should not fear any reprisal (refer to Appendix E - Whistleblower Policy). All volunteers and board members should also immediately report any incidents of harassment they witness to a CSC staff member.
After a report of harassment is received, an investigation by CSC and Livingston School District will be undertaken promptly. Any person who has been found by CSC/Livingston School District, after investigation, to have harassed another CSC student in violation of this policy will be subject to discipline and termination of their association with CSC.
6. WORKING WITH STUDENTS
6.1 Child Abuse Prevention
CSC takes the prevention of child abuse very seriously. If an allegation does occur we will proactively work with the authorities and the family to respond in a prompt and empathetic manner. The following protocol may seem specific and restrictive but they are best practices in the prevention of child abuse for youth serving organizations.
1. Physical Contact
CSC discourages close physical contact between volunteers/staff/board members and students. Students are encouraged to use expressions of affection in non-physical ways (i.e. fistbumps and high fives).
In no case is it appropriate to restrain or use physical force against a student, except when the student presents a threat of injury to themselves or others. Use of unwarranted physical force against a student is grounds for immediate termination.
2. Student/Adult Ratio
Volunteers/staff/board should never be alone, one-on-one with a student. If an adult must pull a student from the rest of the group to discuss an issue, they must ensure that they are in view of the other students and another adult, if possible. If a behavioral or medical issue causes a student to be in a room alone with administrative staff or volunteers, doors must be left open.
3. Online Social Platforms
Volunteers/staff/board may not connect with underage students on social media. In addition, they may not post photos of CSC students on their personal social media accounts. Only assigned CSC staff or volunteers may post on social media.
6.2 Medications and Students
Volunteers/staff/board members are not permitted to administer prescription medications to students unless they are a licensed medical professional and the school nurse has instructed them in the appropriate administration of the medication. Teachers will be aware of specific student’s medication needs and will be knowledgeable of where these medications are stored. Non-prescription medication may only be administered with guardian consent.
7. FIELD TRIP MANAGEMENT
7.1 General Guidelines

The CSC Executive Director will create an itinerary for the program for the teachers, volunteers, and community leaders.
-
The CSC Executive Director will notify all teachers, volunteers, and community leaders of any changes to the itinerary.
-
Teachers/Volunteers will always be aware of the number of participants in their group as well as participant names.
-
Teachers/Volunteers will take frequent head counts and keep the group together.
-
Teachers/Volunteers will encourage students to drink water, eat snacks and dress appropriately for weather conditions.
-
Volunteers, Teachers, and CSC Staff will be responsible for group management and discipline of students.
-
Community Instuctors will not provide group management or discipline of students.
-
Students will be made aware of behavior expectations during Cougar Career Days.
7.2 Weather
Mountain weather can change rapidly and without warning. CSC activities may occur outside and Teachers/Volunteers/Staff will be vigilant checking on student preparedness to spend time outside.
7.3 Early Pick-up
Parents/guardians who are picking up students from a CSC activity need to make arrangements with SGMS office administration beforehand. SGMS will notify CSC volunteers/staff when this will occur.
7.4 Cellphone Use
In accordance with Livingston School District policy 3630, students may use cellphones before school begins and after school ends but not during a program day. Teachers are allowed to confiscate cell phones after repeated unauthorized use - to be returned at the end of day. There may be specific times during CSC programming when students are allowed to use cell phones with permission of the Teachers/Volunteers/Staff.
8. FIRST AID PROTOCOLS
The primary concern during an injury or illness situation is the health and safety of the individual, the group, and the staff. Volunteers/Teachers/Staff will treat injuries and illness to the level of their training.
9. EMERGENCY PROTOCOLS
If a student requires emergency treatment for an illness or injury, adults will follow the Livingston School District Policy (see Appendix F) which states, “The Board recognizes that schools are responsible for providing first aid or emergency treatment to a student in case of sudden illness or injury; however, further medical attention is the responsibility of a parent or guardian.”
9.1 Emergency/Incident Response
The below procedure is also included in all first aid kits.

Take a deep breath, calm yourself and others.
-
Always check the scene for safety.
-
Provide immediate medical care.
-
If necessary call Emergency 911. If immediate medical attention is not needed, call CSC staff or the SGMS office for additional instructions.
-
Keep detailed records for yourself, CSC, and the medical provider.
-
Keep other students informed yet away from the immediate “scene” with another adult.
-
When handing off care of the student, provide the treating medical professional with details of the incident.
9.2 Communication Protocols
In the case of an emergency it is important that information is communicated through the proper channels for efficiency and safety. An emergency phone list can be found in Appendix G and in all first aid kits. Only CSC staff and SGMS administration are permitted to give any written or verbal statements to the press, news media, or bystanders concerning an emergency situation.
9.3 Incident Reporting
CSC is committed to safety in all areas of the organization. All CSC volunteers/staff/board must immediately report all incidents, accidents, and injuries incurred during a CSC sponsored activity to CSC staff or SGMS administration. The form will be reviewed by CSC staff and SGMS administration. See Appendix H - Accident Report.
10. LOST OR MISSING STUDENTS
Prevention is critical in the case of lost or missing students. Adults must follow general supervision protocols to avoid this situation.

Teachers/volunteers/staff must keep their group together at all times.
-
If a student must separate for a moment for any reason (i.e. using the restroom), they will notify their group leader and take a second student with them.
In the Event of a Missing/Lost Student
-
Immediately after a student is noted as missing from the group, adults will stop and gather everyone to get another headcount.
-
Adults will NOT let anyone leave to go look for the person.
-
Adults will determine:
-
Time and place missing student was last seen.
-
Parting comments and general plans of the missing student.
-
State of mind of the missing student.
-
-
Adults will move the entire group to a safe meeting spot and wait.
-
Another adult will return tothe location student was last seen and call the student’s name.
-
If student is still unaccounted for after 10 minutes:
-
Adult will contact CSC staff or SGMS administration.
-
If institutionally supported search is unsuccessful, the SGMS Administration or the CSC Executive Directorwill contact the appropriate authorities and the missing student’s parents.

APPENDIX A: COMMUNITY SCHOOL COLLABORATIVE TERM DEFINITIONS
Cougar Career Day (CCD): An interactive all-day event where Sleeping Giant Middle School students explore their community, their interests and potential career pathways by attending workshops designed and provided by community leaders and partners.
Teacher: A Sleeping Giant Middle School teacher or staff assigned to accompany students on a Cougar Career Day.
Volunteer: Any person engaged with Community School Collaborative on a non-paid, volunteer basis both ongoing or one-time.
Student: A K-12 youth who is attending public school in the Livingston School District.
Student Volunteer: A 9-12 grade student who is volunteering their time to assist teachers and volunteers deliver a Cougar Career Day.
Community Partners: Organizations, businesses and non-profit organizations who participate in Cougar Career Days from the community or nearby communities.
Community Leaders: Guest presenters and speakers from the community or nearby communities.
Board Member: volunteer positions of leadership for Community School Collaborative, also can double as a volunteer for Cougar Career Days.

APPENDIX B: COMMUNITY SCHOOL COLLABORATIVE CONFIDENTIALITY AGREEMENT
In accordance with the trust placed in us by the Livingston School District, CSC leaders, volunteers, and staff are responsible for maintaining the confidentiality of information they obtain about students with which they interact. Information may only be revealed to CSC staff and School District teachers or administration.
I further agree and understand that the information I obtain during my association with CSC is to remain confidential.
I have read the above agreement and agree to its provisions. My failure to comply with this agreement will forfeit my ability to be involved with CSC activities.
APPENDIX C: CSC VOLUNTEER WAIVER
Volunteer does hereby release and forever discharge Community School Collaborative (CSC) and its affiliates from any and all liability, claims, and demands of whatever kind or nature, either in law or in equity, which arise or may hereafter arise from Volunteer’s activities with CSC.
Volunteer understands that this Release discharges CSC from any liability or claim that the Volunteer may have against CSC with respect to any bodily injury, personal injury, illness, death, or property damage that may result from Volunteer’s activities with CSC, whether caused by the negligence of CSC staff or its officers, directors, affiliates, or otherwise. Volunteer also understands that CSC does not assume any responsibility for or obligation to provide financial assistance or other assistance, including but not limited to medical, health, or disability insurance in the event of injury or illness.
Volunteer does hereby release and forever discharge CSC from any claim whatsoever which arises, or may hereafter arise, in response to any first aid, treatment, or service rendered in connection with the Volunteer’s activities with CSC or with the decision by any representative or agent of CSC to exercise the power to consent to medical treatment. Volunteer also verifies that any and all medical conditions (i.e. pregnancy, asthma, disabilities, etc.), that may inhibit activity, have been communicated in advance as necessary.
APPENDIX D: CSC PHOTO / VIDEO RELEASE
By signing this agreement I agree to the following statement: The Community School Collaborative (CSC) staff may take photos & videos of me during Cougar Career Days and other related CSC gatherings. I agree that CSC may use such photographs of me for any lawful purpose, including publicity, illustration, advertising, marketing and web/social content.
APPENDIX E: COMMUNITY SCHOOL COLLABORATIVE WHISTLEBLOWER POLICY
The CSC will use its best efforts to protect whistleblowers against retaliation. Whistle blowing complaints will be handled with sensitivity, discretion, and confidentiality to the extent allowed by the circumstances and the law. Generally, this means that whistleblower complaints will only be shared with those who have a need to know so that the CSC can conduct an effective investigation, determine what action to take based on the results of any such investigation, and in appropriate cases, with law enforcement personnel. (Should disciplinary or legal action be taken against a person or persons as a result of a whistleblower complaint, such persons may also have the right to know the identity of the whistleblower.)
CSC Board members, staff, consultants, and volunteers of the CSC may not retaliate against a whistleblower for informing the CSC about an activity which that person believes to be fraudulent or dishonest with the intent or effect of adversely affecting the terms or conditions of the whistleblower’s association with CSC, including but not limited to, threats of physical harm, loss of job, punitive work assignments, or impact on salary or fees. Whistleblowers who believe that they have been retaliated against may file a written complaint with the Board President. Any complaint of retaliation will be promptly investigated and appropriate corrective measures taken if allegations of retaliation are substantiated. This protection from retaliation is not intended to prohibit supervisors from taking action, including disciplinary action, in the usual scope of their duties and based on valid performance-related factors. Whistleblowers must be cautious to avoid baseless allegations.
APPENDIX F: LSD EMERGENCY POLICY
LIVINGSTON SCHOOL DISTRICT STUDENTS Policy 3431
Emergency Treatment
The Board recognizes that schools are responsible for providing first aid or emergency treatment to a student in case of sudden illness or injury; however, further medical attention is the responsibility of a parent or guardian.
The District requires that every parent or guardian provide a telephone number where a parent or designee of a parent may be reached in case of an emergency.
When a student is injured, staff will provide immediate care and attention until relieved by a superior, a nurse, or a doctor. The District will employ its normal procedures to address medical emergencies without regard to the existence of a do not resuscitate (DNR) request. A principal or designated staff member will call a parent or parental designee so that the parent may arrange for care or treatment of an injured student.
When a student develops symptoms of illness while at school, a responsible school official will do the following:
Isolate the student from other children to a room or area segregated for that purpose;
Inform a parent or guardian as soon as possible about the illness and request the parent or guardian to pick up the child; and
Report each case of suspected communicable disease the same day by telephone to a local health authority or as soon as possible thereafter if a health authority cannot be reached the same day.
When a parent or guardian cannot be reached, and it is the judgment of a principal or other person in charge that immediate medical attention is required, an injured student may be taken directly to a hospital. Once located, a parent or a guardian is responsible for continuing treatment or for making other arrangements.

Cougar Career Days are work-based, field experiences for the 6th, 7th, and 8th grade students of Sleeping Giant Middle School (SGMS). These experiences are designed and executed by the Community School Collaborative (CSC) staff in collaboration withCommunity Workshop Leaders. The CSC staff and SGMS staff need assistance during Cougar Career Days and seek your help as a teacher. The teacher’s role is critical to the implementation and success of the Cougar Career Day events. Your time and dedication are appreciated. This Agreement is created to ensure your experience is a positive and rewarding one.
The Community School Collaborative commits to the following:

To provide a clear understanding of the teacher’s roles and the responsibilities during the Cougar Career Day events. Specifically, as a Teacher you will be assigned a group of up to 20 middle school students for the day. You will be responsible for ensuring they are where they need to be, are behaving respectfully, and are safe at all times.

To define appropriate behavior standards for students and provide ways to help support teachers and the students in attaining these standards.

To assign, if needed, a volunteer for each teacher who will assist with the students during the event.
-
To provide an Orientation Session for teachers and volunteers so they have an opportunity to meet in advance and are prepared for the event.

To address any difficulties encountered during a Cougar Career Day.
We ask SGMS Teachers and Staff to:

Participate in the Orientation Session prior to the Cougar Career Day event.

Understand and comply with the organization’s Safety Management Policy including anti-discrimination and confidentiality policies.

Notify the SGMS lead teacher, SGMS school staff, or CSC staff of any situations that pose a risk to oneself or others; and report any related accidents or incidents.

Engage with the students in the activities presented throughout the day to the best of their ability.

Meet the time commitment standards to the best of one’s ability.

Be open and honest in dealing with the Community School Collaborative staff

Provide staff feedback for improvement of the program.
CSC /Community Workshop Leader Commitments
Cougar Career Days are work-based, field experiences for the 6th, 7th, and 8th grade students of Sleeping Giant Middle School (SGMS). These experiences are designed and executed by Community School Collaborative (CSC) staff in coordination withCommunity Workshop Leaders from Livingston and the surrounding area. . As aCommunity Workshop Leader, your time and dedication are appreciated. ThisCommunity Workshop Leader Agreement is created to ensure your experience is a positive and rewarding one.
The Community School Collaborative commits to the following:

To provide a clear understanding of the Community Workshop Leader’s role on Cougar Career Day. Specifically, in this role you will share your expertise with up to 20 middle school students. You may be asked to repeat this presentation multiple times throughout the day.

To ensure that students are aware of the appropriate behavior standards expected of them while they are in your place of business or other facility.
-
To provide a teacher and/or Senior Volunteer who will take primary responsibility for the students during the event.
-
To provide an Orientation Session prior to the Cougar Career Day which will cover the event, your role as the Community Workshop Leader, the volunteer’s role and responsibilities, and CSC’s Safety Management Manual.

To provide adequate insurance coverage for all volunteers while undertaking work on behalf of the CSC.
-
To assist CommunityInstructors in preparing an engaging, hands-on experience for the students.
-
To provide clear communication leading up to the event including: times, schedules, transportation, number of children, number of volunteers, etc.
The Community Workshop Leader commits to the following:

To participate in the Orientation Session prior to the Cougar Career Day event. If you are unable to participate at the scheduled time, CSC staff will work with you to provide the required orientation.

To provide engaging career exploration and hands-on activities rather than solely a lecture-based presentation.

To understand and comply with the organization’s Safety Management Manual including anti-discrimination and confidentiality policies.

To meet the time commitment standards to the best of one’s ability.

To be open and honest in dealing with the Community School Collaborative staff.

To provide feedback for improvement of the program.
CSC / Volunteer Commitments

These experiences are designed and executed by the Community School Collaborative (CSC) staff in collaboration with Community Leaders. The CSC staff and SGMS staff need assistance during Cougar Career Days and seek the help of Volunteers like you. The Volunteer’s role is critical to the implementation and success of Cougar Career Days. Your time and dedication are appreciated and we wish to ensure every Volunteer experience is a positive and rewarding one. This Agreement is created to address the terms and conditions of the Volunteer’s work.
The Community School Collaborative commits to the following:

To provide a clear understanding of the role and the responsibilities of a Volunteer during a Cougar Career Day event. Specifically, as a Volunteer you’ll be assigned a group of up to 20 middle school students for the day. You’ll be responsible for ensuring they are where they need to be, are behaving respectfully, and are safe at all times.

To provide a first aid kit for use on Cougar Career Day.

To define appropriate behavior standards for students and provide ways to help support teachers and the students in attaining these standards.

To provide an Orientation Session prior to the Cougar Career Day event which will cover the event, the Volunteer’s role and responsibilities, and CSC’s Safety Management Manual.

To provide adequate insurance coverage for the Volunteer while undertaking voluntary work on behalf of the CSC.

To address any difficulties encountered while Volunteering for the CSC.
The Volunteer commits to the following:

To participate in the Orientation Session prior to the Cougar Career Day event.

To understand and comply with the organization’s Safety Management Manual including anti-discrimination and confidentiality policies.

To carry a first aid kit during Cougar Career Days and alert CSC staff to any restocking needed if products are used.

To behave appropriately and courteously to both the staff, students, and the public.

To notify the SGMS lead teacher or CSC staff of any situations that pose a risk to oneself or others; and report any related accidents or incidents.

To perform the Volunteering role to the best of one’s ability.

To meet the time commitment standards to the best of one’s ability.

To be open and honest in dealing with the Community School Collaborative staff.

To provide staff feedback for improvement of the program.
I accept the terms stated above and will strive to fulfill the responsibilities outlined in this agreement. If there are problems with my responsibilities, I will advise Community School Collaborative immediately.
CSC / Student Volunteer Commitments
Cougar Career Days are work-based, field experiences for the 6th, 7th, and 8th grade students of Sleeping Giant Middle School (SGMS). These experiences are designed and executed by the Community School Collaborative (CSC) staff in collaboration with Community Leaders. The CSC staff and SGMS staff need assistance during Cougar Career Days and seek the help of Student Volunteers. We appreciate your willingness to assist CSC and hope your volunteer experience is a positive and rewarding one.
The Community School Collaborative commits to the following:

To provide a clear understanding of the roles and the responsibilities of a Student Volunteer during the Cougar Career Day event. Specifically, as a Student Volunteer you will be assisting a group of up to 20 middle school students for the day. You will be assisting a lead Teacher or Volunteer. The two of you will be responsible for ensuring students are where they need to be, are behaving respectfully, and are safe at all times.

To define appropriate behavior standards for SGMS students and to provide ways for you to help support teachers and the SGMS students in attaining these standards.

To provide a lead teacher or volunteer who will take primary responsibility for the SGMS students during the event.

To provide an Orientation Session prior to the Cougar Career Day which will cover the event, the Student Volunteer’s roles and responsibilities, and a review of CSC’s Safety Management Manual.

To address any difficulties encountered while volunteering for the CSC.
The Student Volunteer commits to the following:

To participate in the Orientation Session prior to the Cougar Career Day event.

To understand and comply with the organization’s Safety Management Manual including anti-discrimination and confidentiality policies.

To behave appropriately and courteously to both the staff, students, and the public.

To notify the SGMS lead teacher, SGMS school staff, or CSC staff of any situations that pose a risk to oneself or others; and report any related accidents or incidents.

To use language that is appropriate and acceptable.

To dress in a manner that is school appropriate and sets a positive example for younger students.

To meet the time commitment standards to the best of one’s ability, and if there is a time conflict to text or call Gina Morrison at the Community School Collaborative.

To be discrete in cellphone usage, and use only in emergency situations.

To be open and honest in dealing with the Community School Collaborative staff.

To provide feedback for improvement of the program.
I accept the terms stated above and will strive to fulfill the responsibilities outlined in this agreement. If there are problems with my responsibilities, I will advise the Community School Collaborative immediately.
